Traveler Studio Cancellation & Refund Policy

This policy outlines the terms and conditions regarding the cancellation of travel services and the refund of monies paid to Traveler Studio (the “Company”). By booking any service with us, you agree to this policy.

1. General Cancellation Terms

  • Request for Cancellation: All requests for cancellation must be made formally in writing via email to [vivek@travellersstudio.in] and must be acknowledged by a Company representative to be valid. The effective date of cancellation is the date the written request is received and acknowledged by the Company.
  • Non-Refundable Costs: Please note that certain components are non-refundable once processed. These include:
    • Visa and Passport fees.
    • Service, Transaction, or Processing fees charged by Traveler Studio.
    • Any non-refundable deposits or payments made to third-party suppliers (e.g., specific airlines, hotels, or local vendors) as specified at the time of booking.
  • No Show: If a traveler fails to join a tour or utilize a booked service without prior written cancellation, this will be treated as a “No Show,” and no refund will be issued.

2. Cancellation of Tour Packages (Domestic and International)

The following cancellation fees are based on the date the written cancellation is received by the Company, calculated against the package’s departure date.

  • Note: For bookings during peak seasons (e.g., [Peak Season Dates/Festivals]), the cancellation charges may be higher and will be communicated at the time of booking confirmation.

3. Cancellation of Third-Party Services (Flights, Hotels, Activities)

For services booked through Traveler Studio that are supplied by third parties (airlines, hotels, car rentals, cruise lines):

  • The cancellation and refund policy of the respective third-party supplier will apply.
  • Traveler Studio is only a facilitator, and refunds are subject to receiving the corresponding refund from the supplier.
  • Traveler Studio reserves the right to deduct a separate non-refundable Service Fee of upto 10% per person/booking for the cancellation handling process, in addition to any supplier-imposed fees.

4. Refunds for Unutilized Services

There will be no refund or compensation for any travel components, meals, sightseeing, entrance fees, or transportation services that are included in the package but are unutilized by the traveler due to personal choice, illness, delayed arrival, or any other reason.

5. Tour Cancellation by Traveler Studio

Traveler Studio reserves the right to cancel or postpone any tour due to circumstances beyond our control, such as Force Majeure events (natural disasters, political instability, border closures, pandemics, etc.), or if the minimum number of participants is not met.

  • In the event of cancellation by Traveler Studio, participants will be offered the choice of:
    1. A full refund of all monies paid (excluding non-refundable visa/insurance/handling fees).
    2. A Travel Credit/Voucher equivalent to the amount paid, valid for future bookings with Traveler Studio.
    3. Transferring the booking to an alternative available date or itinerary.

6. Refund Processing

  • Method of Refund: All refunds will be processed back to the original mode of payment used for the booking (e.g., credit card, bank transfer, UPI).
  • Processing Time: Once the refund amount is approved and calculated based on this policy, the processing time for the credit to reflect in the customer’s account is typically 7 business days, though this may vary depending on banking procedures.
  • Currency: Refunds will be made in the currency in which the original payment was received. Any differences due to currency exchange fluctuations or bank charges will be borne by the customer.

7. Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance at the time of booking to cover potential cancellation costs, unforeseen circumstances, medical emergencies, and loss of baggage. Refunds will only be provided in accordance with this policy, irrespective of your insurance claim status.
